Administrative Assistant
Overview:
The Administrative Assistant is the Assistant to the Executive Director of Springfield Preservation and Revitalization Council (SPAR). The Administrative Assistant is responsible to, evaluated by, and works at the direction of the Executive Director. The Administrative Assistant is responsible for supporting, organizing, and occasionally managing various activities consistent with the organization’s mission and financial objectives, as outlined below. This description is intended to be broad and duties of this position will vary and grow as the organization advances. This is a part-time position.
General Business Administration / Management
A. Maintains SPAR office hours:
1. Answers phone / email
2. Handles walk-ins
3. Retrieves organizes and distributes postal mail
4. Sells SPAR merchandise, as available
5. Manages office inventories; general office supplies, merchandise, equipment, and event promotional materials
6. Conducts basic bookkeeping in support of the Bookkeeper
7. Supports maintenance of the contact management processes and tools
B. Administers SPAR membership activity:
1. Works closely with Membership Committee Chair
2. Educates potential members on membership details including costs, duration, and benefits
3. Creates all membership cards, welcome letters and other communication materials
4. Maintains accurate membership lists
5. Processes membership renewals
Board of Directors/Governance
A. Serves as the administrative assistant to the Board:
1. Attends and participates in all Board meetings
2. Supports administrative requests in support of Committee meetings such as making copies, providing reports, and ensuring Committees have access to the SPAR building
3. Assists in accomplishing committee goals with regard to strategic plan and organizational growth as necessary
Marketing/Event Coordination
A. Drives marketing and promotion:
1. Assists in creation of marketing materials
B. Assists with events:
1. Assists with assembly of event committees to facilitate all sponsored events
2. Seeks out opportunities for involvement, community support, sponsorship and cross promotion
3. Assists with rigorous program evaluation to ensure programs are appropriate for the community and the financials are well understood
Community Development
A. Promotes preservation activities throughout the Springfield Historic District:
1. Understands and shares historic preservation guideline resources
2. Works with Executive Director to maintain approved and recommended vendor and contractor lists
3. Supports educational programs related to historic preservation
B. Maintains board awareness of neighborhood issues and concerns:
1. Assists with data collection from neighborhood
C. Encourages business development:
1. Provides administrative support to the Commercial Corridor Committee and SAMBA
2. Forwards leads for business interest and forward to board/SAMBA members for additional assistance as needed
Required Skills, Experience and Training:
A. High school diploma
B. Proven track record of success in an administrative role
C. Minimum 2 years of Jacksonville non-profit involvement is preferred
D. Basic understanding of financial and accounting rules and procedures
E. Experience with online file organization and storage
F. Sense of humor, integrity, impeccable work ethic
G. Knowledge of Google Suite products and Google Drive storage, Quickbooks, and Campaigner preferred
H. Ability to work flexible schedule
